Assistant Personnel Technician

Role Description

Under the Supervision of the Personnel Officer, the Assistant Personnel Technician is responsible for providing an administrative support of the day-to-day operations of the Human Resource office. The ideal candidate has a keen attention to detail, strong work ethic and has ability to maintain confidential information.

Education:

Graduation from an accredited college or university with a Bachelor’s degree

Experience:

One (1) year experience in a Human Resources role preferred.

Qualifications:

  • Strong technology skills, including extensive use of Microsoft applications as well as HRIS software.
  • Excellent communication, organizational and problem solving skills.
  • Ability to follow detailed written and verbal directions as given by Supervisor.
  • Must be courteous and able to deal effectively with staff and public. Must be cooperative, congenial, and service-oriented.

Duties & Responsibilities:

  • Assist with the conversion of many internal HR procedures and projects
  • Provides customer service, both in-person and by telephone; answer general questions from employees and the general public regarding human resource issues, rules, and regulations relating to human resource management; respond to employment verification requests, and other requests for information
  • Provide administrative support to Human Resources; prepare reports and routine correspondence in connection with personnel work including offer letters, credentialing memos, and other correspondence related to assigned HR responsibilities
  • Assist the recruitment process with organizing candidates in on-line application system, scheduling candidates into interviews and assessments, and other necessary tasks.
  • Assist with the new hire onboarding process including new hire paperwork, clearance/compliance processes.
  • Establish, maintain and control personnel, employees, files, correspondence and reports.
  • Completes other duties as assigned

Salary Range: $48,186 - $65,179

Data Processing Programmer

Under direction, does the design and preparation of computer programs for electronic data processing equipment utilizing required and current software, operating systems, and multi-programming technology; does other related duties.

ESSENTIAL DUTIES:

  • Maintains and modifies routine programs.
  • Writes routine new programs using prescribed specifications.
  • Prepares flow charts and block diagrams and codes program modules of the least complexity for application systems development.
  • Checks program module coding to determine program deficiencies and corrects coding as necessary.
  • Makes approved changes by amending the program flow chart, developing detailed processing logic, and coding changes.
  • Tests and documents modifications and writes operator instructions.
  • Maintains production application programs/program modules as necessary.
  • Operate electronic data processing and peripheral equipment to make a test of coded programs in analyzing and correcting program error stops.
  • Utilize various types of electronic and/or manual recording and information systems used by the agency, office, or related units.
  • Responsible for the completion of programming tasks including the development of appropriate design logic for individual programs and program systems based on installed software, data base/ data communications, and program development capabilities.
  • Combines program modules into a complete executable program to test module interaction for production purposes, and prepares complete program documentation in conjunction with agency and/or other data processing standards to obtain a data processing analyst sign-off for completed application program.
  • Acts as a resource person for checking hardware and software problems through visual inspection and manual manipulation of equipment.
  • Acts as a technical resource for Training when required.

Salary Range: $62,590 - $85,799

  • Reviewing inventory and updating as required
  • Coordinate with Accounts Payable to ensure asset invoices are paid in a timely fashion
  • Record fixed asset acquisitions and disposals in the system
  • Identify and investigate any obsolete assets
  • Conduct periodic physical inventory counts of fixed assets
  • Reconcile the balance in the fixed asset subsidiary ledger
  • Assist with preparation of audit schedules relating to fixed assets

  • Review time sheets, work charts, wage computation, and other information to detect and reconcile payroll discrepancies
  • Complete, verify, and process forms and documentation for administration of benefits, such as pension plans, and unemployment and medical insurance.
  • Prepare and balance period-end reports, and reconcile issued payrolls to bank statements
  • Process invoices for payment
  • Maintaining payroll information by collating, calculating and entering data
  • Updating payroll records by entering any changes to employee information or benefits such as job title changes, exemptions and saving deductions
  • Preparing reports that include summaries of earnings, tax deductions, leave, compassionate leave and non-taxable wages
  • Calculating payroll liabilities by determining employee taxes, including federal and state income and social security tax, and calculating employer’s payments for social security, unemployment and worker’s compensation
  • Maintaining all payroll operations according to company policies and procedures
  • Processing and issuing W-2 forms to employee
  • Completes other duties as assigned

Management Information Systems (MIS) Department Seasonal Assistant 2

Under the Supervision of the Senior Systems Analyst, the MIS Seasonal Assistant 2 is responsible for providing an administrative support of the day-to-day operations of the MIS Department.   • Troubleshoots, maintains and repairs computer hardware and peripheral equipment; assists in troubleshooting and resolving computer software problems;
  • Performs remote and on-site repairs as appropriate;
  • Assists in maintaining computer network connectivity;
  • Maintains Help Desk tracking system and associated records (including but not limited to work orders, inventory, and software license);
  • Assists department personnel in implementing anti-virus procedures and with other technical duties as requested;
  • Receives and responds to employee inquiries, requests for assistance and complaints in areas of responsibility;
  • Accurately performs general clerical work as required, including but not limited to preparing reports and records, entering and retrieving computer data, copying and filing documents, answering the telephone, etc.;
  • Attends training as required to maintain job knowledge and skills; and
  • Completes other duties as assigned
